1.      Pick up your folder from the desk nearest the door.  Before taking a seat, please consider how well you can see the board and the projection system pull-down screen because your instructor will be assigning seats on a seating chart during the next class meeting.  Attendance will be verified using the seating chart and absences recorded from those folders that haven't been retrieved at the beginning of each class meeting.  Please pay the printing fee if you did not do so at the last class meeting.   

2.      Log-on to the GDP CAOT 123 (Greg  Document Processing) keyboarding software.  Check the assignment sheet in your folder for today's lessons.  It is important to check your assignment sheet because sometimes only selected exercises within a lesson are assigned; not all exercises are always required.

a.        Complete the skillbuilding exercises shown on your assignment sheet in your folder for Lesson 64.

b.        Go to Lesson 65, Report 65-38, Résumé.  Your instructor will  demonstrate how to use the Table feature in Word to create this document and discuss the use of keyboard shortcuts in this document. Your instructor will review  the process of saving, scoring, editing (if necessary), and printing your document in GDP for those of you who have not had the experience of using the GDP program in CAOT 1 and 2.

c.         Follow the instructions 1-12 in your textbook very carefully.  In addition, please remove the table borders so that only the horizontal line after the centered three-line title is visible.  To remove the table borders, select the entire table (click on the "Print Layout View" icon in the lower left corner of the Word document window, move your mouse to the upper left corner of the table and click on the four-headed arrow that appears).  Then in the Formatting Toolbar,  click on the down arrow to the right of the “Borders” icon.  Click on the "no borders" icon. (All table borders are now "grayed out" and will not print.)  To insert the horizontal line above the "EDUCATION" section, be sure the table is still selected, click on the down arrow to the right of the Borders icon, and click on the icon representing the top border line.   Carefully proofread your document against the textbook and correct any errors.  Click on “GDP” to exit the Word program; click on “Yes” to “Save Changes,” click on “Yes” to “Score” your document, and finally “Yes” to review your document.  If you have “0” errors, congratulations!   You have met the goal for this exercise by achieving "0" errors on the first attempt.  You may circle the “Yes” on your assignment sheet for proofreading this assignment perfectly.  J (If you did not achieve "0" errors--a space at the end of a line or paragraph does count as an error--return to the Lesson 65 menu, click on the document  name (Report 65-38), choose “edit” to open your file, and make the needed corrections.) Circle the "No" on your assignment sheet to indicate that all errors were not found on the first attempt.  L

d.        To print your résumé, click on “Portfolio” in the GDP button bar at the top of your screen, click OK in the menu that appears.  When the list of completed exercises appears, click on the document name you wish to print (“Report 65-39”) and then click on the “View Text" button.  Click on "Print in MS Word" and click again on "Print Text."  Place this printout in your folder to submit at the end of class.

e.    Next go to Letter 65-62 in your lesson menu.   Before beginning this document, be sure you are aware of correct Personal-Business, Block Style format  (you should have reviewed page R-3 in the Reference Manual section of your text or Word Processing Manual as homework.  Follow the same procedure as outlined above (read the textbook instructions carefully, type the document, proofread/correct errors, click on "GDP" to exit, save, score, and review your document).  Again, the goal is to achieve "0" errors on the first attempt.  If necessary, edit your document for "zero errors."  Print this letter using the same steps in paragraph "d" above.

3.      Let your instructor know when the above work has been completed.  If there is more class time, complete Lessons 62 and/or 63 from last week.

4.      Distribute and discuss the MS Word 2003 Toolbars and Shortcuts handout.

1.      Roll call; payment of printing fee if not yet submitted; completion of Seating Chart.

2.      Pick up class folder; remove all "checked" papers from your folder (a checkmark in the upper right corner indicates it has been checked by your instructor).  Read your assignment sheet for today's assignments--Lessons 66 and 67.

3.      Log-on to the GDP CAOT 123 (Greg  Document Processing) keyboarding software.

a.      Go to Lessons 66 and 67; do the skill building sections of these lessons indicated on the assignment sheet; follow the specific directions in the left margin of the textbook for each section.

b.      Do Report 66-39, an itinerary.  Follow the textbook directions to create and format this itinerary using a two-column Word "open" table format (remove all borders from the table after the document is typed to prevent the border lines from printing.)  Adjust the width of the second column so it is about an inch wider than the first column.   Follow the same procedure for the résumé discussed at the last class meeting to proofread, save, score, and edit/correct for zero errors) or click here for a reminder.  Print this itinerary using the same procedure used to print the résumé or click here for the procedures on how to print a word processing document in GDP.  Did you achieve "0" errors on the first attempt?  If so, great--you have met the goal for this assignment and you may circle the "Yes" for  correctly proofreading this document.  J If not, return to the Lesson 66 menu to "edit" this document until "0" errors is achieved.  L

c.      Go to Lesson 67; do Report 67-43, an agenda, using the Word “Bullets and Numbering” feature reviewed as homework in Lesson 28, page 49, of your Word Processing Manual, this past weekend.  Use the keyboard shortcut, CTRL + 2 to change from single to double spacing after typing the date.  The numbers should align at the left margin and the first word of each numbered paragraph should be “.3” from the left margin.  (Verify this setting by selecting the entire numbered paragraphs section, clicking on FORMAT in the Menu Bar, “Bullets and Numbering,” and in the “Numbered” tab, click “Customize.”)  Save, score, review, and edit, if necessary, to achieve zero errors.  (Click here if you need to reread the procedures to save in GDP, score, and review your Word file).  Follow the same procedure used for the Résumé (Report 65-38) to print this file.  Click here to move the screen back to these printing instructions. Circle either Proofread "Yes"  J or "No." L

e.   Do Report 67-44, minutes of a meeting.  Use a two-column Word "open" table format (remove all borders from the table).  Note the bolding of the main centered heading and the side headings (ATTENDANCE, etc.) in the first (left) column. Train yourself to notice such formatting details contained in your document.  Adjust the column widths so that there is only an inch or so of white space between the two columns.  Why would one limit the amount of space between columns?  Follow the usual procedure to save, score, review, and, if necessary, edit your document until you achieve zero errors.  Print the document from the Portfolio report.  Circle either Proofread "Yes" or "No" on your assignment sheet.  How well you proofread--recognize  and correct any errors in your document before exiting GDP-- is an indication of how well you will do in this course (and, consequently, on the job).  If you did not find all your own errors, resolve to improve on your proofreading performance in the next four word processing assignments. J

e.      Teacher demonstration of how to print a report for "selected" exercises completed for an entire week (64, 65, 66, and 67).  This report printout should be submitted along with your itinerary, agenda, and minutes.  The procedure is as follows:

f.        Procedure to print "selected" lessons every Thursday:  Click on "Portfolio" in the Menu Bar at the top of your screen and then click on filter portfolio button.  When the Report Options dialog box appears, select the lesson numbers in the section under "All."  Key in the  lesson numbers desired (in this case the four lessons,  64, 65, 66, 67) separated by commas. Click on "OK"; click on "Print Report."

4.   At the end of the class period,  place this GDP report printout along with your word processing assignment printouts in your folder and submit to your instructor for grading.  Over the weekend, refer to your "Homework and Review Lessons" handout  to prepare for next week's documents.
